Members Privacy Notice

The Garda Representative Association (GRA) fully respects your right to privacy. Any personal information which you provide to the GRA will be processed

in accordance with the General Data Protection Regulation (EU) 2016/679 and the Data Protection Act 2018.

How we collect your personal data

We collect your personal data directly from you through our Membership Form.

We also collect ‘non-personal’ data through our website. This includes statistical and other analytical information and it cannot be used to identify or

contact you.

How we use your personal data

Your data is used to:

(a) Set you up and record you as a member of the GRA

(b) To authorise, amend or cancel membership deductions with the Department of Justice

(c) Create mailing lists in order to communicate by post

(d) Record you and your family as members/beneficiaries of Life Assurance scheme

(e) Record you as a member of Serious Illness scheme

(f ) Record you as a member of Income Protection scheme

(g) Record you as a District/Divisional/CEC representative (where applicable)

(h) Maintain a record of our Membership for statistical and operational purposes.

We keep your data as accurate and up-to-date as possible, in accordance with legal requirements. The information you provide is used and disclosed only

for the purposes above. If you volunteer your data for another purpose, for example for involvement in a communication group run by a CEC Rep, this will

be based on your consent and you have the right to withdraw that consent at any time. If relevant to you, we may also hold ‘special categories’ of data, for

example we may hold details of your spouse. If you are in a same-sex marriage, this data may reveal your sexual orientation and so is considered ‘special’.

Where you make claims under Illness schemes, we may also hold details of those claims for the purposes of administering the scheme. As this may reveal

information about your health, this data is considered ‘special’.

Legal basis for processing your data

The law requires that we have a ‘legal basis’ for processing your data. We process Member’s data in order to facilitate the necessary performance of the

membership contract. For ‘special categories’ of data, we process on the basis of your consent as indicated by your signature on our Membership form

and/or any Claim form. You have the right to withdraw your consent at any time. For the storage and processing of your child’s data, we rely on your consent

as indicated by your signature on our Membership form and/or any Claim form. You have the right to withdraw your consent at any time.

How we store and secure your data

Any data we collect from you will be stored confidentially and securely. The GRA is committed to ensuring all accesses to, uses of, and processing of data

is performed in a secure manner. In keeping with data protection principles, we will only store your data for as long as is necessary. For the purposes

described here, we will store your data for as long as you are a Member of the GRA. We will also store your data after you retire for the purposes of administering

life assurance and other schemes and purposes consistent with the aims and objectives of the Association in accordance with our Rules and

Constitution. We do not store or share your data outside the EEA.

Details of third parties with whom we share personal data

The GRA will share your data with third parties where necessary for purposes of the processing. The GRA will share your data with the following third

parties:

• Department of Justice by means of a coded ‘DAT’ file for the purposes of administering membership deductions.

This file will contain only your Reg Number or Pension Number.

• Our insurers and insurance brokers for the purposes of administering the life assurance/illness/income protection schemes.

This information is shared by encrypted file.

• Mailing list information with our mailing house partners for the purposes of administering our mailshots.

When we share your data with the third parties outlined here the GRA will ensure that the data is only processed according to our specific instructions

and that the same standards of confidentiality and security are maintained.

Your rights

You have the following rights over your personal data:

• To object to personal data processing
